---# ManyChat Alternative for Coaches: 8 Tools Compared

> The best ManyChat alternative for coaches depends on the job. Luca and SetSmart handle real sales conversations. Inrō and InstantDM cover Instagram capture cheaply. Chatfuel and respond.io suit teams. ManyChat's free plan now caps at 25 active contacts per month, which is why most coaches start looking.

## Key takeaways

- ManyChat's Free plan allows 25 Active Contacts per month, 4 live automations, and adds "Powered by Manychat" branding on first contact (ManyChat Help, 2026).
- Paid ManyChat runs $14 to $139/mo, with per-contact overage from $0.10 down to $0.004 once you pass your allowance.
- Cheapest Instagram-only swaps: InstantDM ($9.99/mo) and Inrō (free tier, then EUR 12.99/mo).
- Conversation-first swaps: SetSmart (from $25/mo), Luca ($99-$499/mo flat), Setter AI (quote-based).
- Pick by billing unit, not sticker price. Contacts, AI messages, credits, and seats behave very differently in a launch month.

---

Most coaches don't go looking for a ManyChat alternative because ManyChat broke. They go looking because the bill jumped, or because a lead asked a real question and the flow had nowhere to send it.

ManyChat now bills by monthly Active Contacts, and the free tier allows 25 of them, per ManyChat's own Free plan page. The other issue is older than the pricing: a keyword trigger can open a conversation, but it can't have one. If you sell coaching at $2,000 or $8,000, that second problem costs you more than the first.

This guide compares eight tools coaches shortlist, with every price checked against the vendor's own page in August 2026. We build one of them, so the ground rules come first.

## How did we evaluate these ManyChat alternatives?

The disclosure comes before the verdicts: **Luca is our product.** That shapes what we know well and what we could be wrong about, so here are the rules we held ourselves to.

**1. Pricing comes from the vendor's own page, dated.** Every number below was read off a public pricing or help page in August 2026. Nothing from review-site round-ups. Where a vendor doesn't publish a dollar price, we say so instead of guessing.

**2. What a coach needs, over how many features a tool has.** We weighted DM sales conversations, follow-up, and call booking above broadcast tools and shopping features.

**3. The billing unit gets its own column.** Contacts, AI messages, credits, and seats produce very different bills for the same amount of work, and a launch month is where that bites.

**4. We name where a rival beats us.** Four tools here are a better buy than Luca for specific readers, and each of those entries says so plainly. If you only want a comment-to-DM link sender, you should not pay us $99 a month.

What we couldn't do: run every tool on a real coaching account for three months. The feature notes come from vendor docs, not from us using each one in the wild.

## Which ManyChat alternatives should coaches compare?

Eight tools, sorted by what they're for. WhatsApp shows up on more of them than it did two years ago, which tells you where coaching conversations have moved.

| Tool | Best for | Starting price | Free plan | Billing unit |
| --- | --- | --- | --- | --- |
| **ManyChat** | Comment-to-DM funnels and broadcasts | $14/mo (Essential) | Yes -- 25 contacts/mo | Monthly Active Contacts |
| **Luca** | Coaches closing high-ticket in DMs | $99/mo (Starter) | No -- paid only | Flat monthly + conversations |
| **SetSmart** | Coaches wanting AI qualification cheap | $25/mo (Light) | No -- 7-day trial | AI messages/mo |
| **Setter AI** | High-volume lead forms and ads | Quote only | No -- 7-day trial | Credits / per lead |
| **Chatfuel** | Attribution from chat to sale | $49/mo (AI PRO) | Yes -- Chatfuel Light | Plan-level usage limits |
| **Inrō** | Instagram creators and small coaching lists | EUR 12.99/mo (Pro) | Yes -- 100 contacts/mo | Active contacts |
| **InstantDM** | Cheapest Instagram auto-DM | $9.99/mo | No -- 7-day trial | Automations/hour |
| **respond.io** | Small teams sharing one inbox | $79/mo (Starter) | No -- 7-day trial | Contacts you message |

Prices from each vendor's pricing page, August 2026.

## Why are coaches leaving ManyChat in 2026?

Three documented changes, not vibes. ManyChat moved from cumulative-contact pricing to monthly Active Contacts, its free tier now allows 25 Active Contacts per month, and per-contact overage on the entry plan runs $0.10, all published on ManyChat's own pricing page and help centre in 2026.

**The free plan stopped being a real testing ground.** ManyChat's Free plan page lists 25 Active Contacts per month, 4 live automations, 2 channels, 1 user, and a "Powered by Manychat" branding message on first contact. WhatsApp, SMS, and email aren't available on it. One decent Reel burns through 25 contacts in an afternoon.

**Billing follows engagement, and engagement spikes.** ManyChat's pricing-change announcement explains the shift: you're billed on people who interact with you in a billing month, not people sitting in your database. That's fairer in a quiet month and dearer in a launch month. Its Billing FAQ adds that the system picks your tier by contact count, charges you the difference part-way through the month, and offers no payment cap.

**The overage curve punishes the middle.** Essential includes 250 Active Contacts, then charges $0.10 per extra. Pro includes 2,500 at $29 and drops overage to $0.05. A coach at 1,800 contacts on Essential pays roughly $169 that month; the same volume on Pro costs $29. That's a plan mistake rather than a product flaw, and a better plan fixes it.

**Chart:** Free is $0, Essential $14, Pro $29, Business $69, and Advanced $139 per month. Cost rises with the monthly Active Contact allowance. (Free is $0, Essential $14, Pro $29, Business $69, and Advanced $139 per month. Cost rises with the monthly Active Contact allowance. See Sources.)

The fourth reason has nothing to do with pricing. Meta's Messenger Platform policy gives you 24 hours to reply to someone who messaged you, stretched to 7 days if you use the Human Agent tag. Inside that window, what books the call is the quality of the reply, not the speed of the trigger. A canned "Here's my link 👉" answers nobody's question.

If you're weighing whether to stay put and fix your setup instead, our breakdown of [whether ManyChat is safe](/blog/is-manychat-safe) covers the account-risk side.

## What are the 8 best ManyChat alternatives for coaches?

### 1. ManyChat: the baseline you're comparing against

Still the most complete chat-marketing tool for creators, and plenty of coaches should keep it. Published 2026 tiers: Free ($0, 25 Active Contacts), Essential ($14, 250), Pro ($29, 2,500, adds AI conversations and broadcasts), Business ($69, 7,500), Advanced ($139, 25,000).

**Pros:** mature flow builder, comment-to-DM that fires reliably, broadcasts, five channels, and more tutorials than any rival. **Cons:** no payment cap, billing spikes on launches, flows can't improvise, free tier is now a demo. **Best for:** coaches whose top-of-funnel is content-triggered capture and list broadcasts.

### 2. Luca: best for coaches who close in the DMs

Our tool, so read the other seven entries first. Luca is an AI DM setter rather than a flow builder: it reads the message that came in, drafts a reply in your voice, qualifies by talking rather than by form, and books the call. Every draft lands in a review queue for you to read, and auto-send stays off on every plan and channel until you turn it on. Starter $99/mo (1 channel, 300 conversations), Pro $249 (all four channels, 1,500), Scale $499 (5,000, multi-account), $29 top-ups per 100.

**Pros:** flat pricing that doesn't move when a Reel lands, replies written to the question the lead actually asked, multi-day follow-up and no-show rescue, four channels in one inbox, and a check step that protects both your account and your voice. **Cons:** no free plan, no broadcasts, giveaways, or comment-to-DM tooling, and $99 is real money if you get five DMs a week. **Best for:** coaches selling $1,500+ offers where the conversation is the sale.

### 3. SetSmart: cheapest way to get AI qualification

SetSmart sells AI lead qualification and call booking to coaches across WhatsApp, Instagram DMs, and Messenger. Published plans: Light $25/mo (250 AI messages, hard cap, no top-ups), Pro $97 (1,000, top-ups at $100 per 1,000), Scale $297 (4,000), Enterprise $797 (15,000). Seven-day trial.

**Pros:** entry price well under most conversation tools, all channels on every plan, coach-first positioning. **Cons:** the Light plan's hard cap stops the automation dead mid-month, and per-message billing is hard to predict when one chatty lead can eat ten messages. **Best for:** a coach who wants AI qualification under $30 and can live with a ceiling. **Honestly: at a $25 budget and low volume, SetSmart beats us on price and we won't pretend otherwise.** More in our [SetSmart alternative](/blog/best-setsmart-alternative-for-coaches) guide and [SetSmart vs ManyChat](/blog/setsmart-vs-manychat).

### 4. Setter AI: for lead forms and ad volume, not Instagram DMs

Setter AI answers inbound leads within seconds and books meetings over WhatsApp Business, SMS, and a website chat embed, pulling from Facebook and LinkedIn lead forms, landing pages, and Zapier. Its pricing page lists six tiers by how many credits you get, 500 up to 120,000, with a per-lead price that falls as volume rises and no dollar figures published.

**Pros:** fast on form-fill leads, connects to calendars, built for teams already buying leads at scale. **Cons:** you have to ask for a price, no Instagram DM channel, and it aims at businesses doing 500+ leads a month in markets like real estate and solar. **Best for:** coaches spending heavily on Meta lead-form ads with a setter team behind them. See our [Setter AI review](/blog/setter-ai-review).

### 5. Chatfuel: for coaches who need to prove which lead became a sale

Chatfuel now leads on attribution, meaning it tracks which lead turned into a sale, across Instagram, Facebook, and WhatsApp, rather than on flow-building. Pricing is unusually simple: Chatfuel Light is free with no card, and AI PRO is $49/mo. The pricing page says usage limits apply per plan without publishing the numbers there.

**Pros:** one clear paid tier instead of a five-step ladder, WhatsApp on both plans, AI sales replies drawn from your own material, free tier to test on. **Cons:** the limits aren't written where you'd look for them, and it's a marketing tool rather than a setter. **Best for:** coaches running paid traffic into DMs who need attribution from first message to closed sale.

### 6. Inrō: the cheapest credible Instagram tool with an AI agent

Inrō is Instagram-only and makes no apology for it: DMs, comments, story mentions and replies, live comments. The free plan gives 100 active contacts a month, 3 campaigns, and 50 AI agent credits. Pro is EUR 12.99/mo with auto-scaling contacts and unlimited campaigns, on a 14-day trial. Managed accounts start near EUR 200/mo.

**Pros:** free tier four times larger than ManyChat's, low price, AI agent included, story-reply coverage many tools skip. **Cons:** Instagram only, so no WhatsApp or Telegram, and euro pricing means doing a currency conversion every month. **Best for:** an Instagram-native coach under EUR 20/mo who wants capture plus light AI replies. **If that's you, Inrō is the better buy and Luca is overkill.**

### 7. InstantDM: cheapest auto-DM on the list

InstantDM covers Instagram DMs, comments, stories, reels, and Live, plus Facebook page comments and Messenger. Legend Pro is $9.99/mo with 750 automations an hour; Trendsetter is $24.99/mo with unlimited automations, API access, and WhatsApp support. Seven-day trial, no card.

**Pros:** under ten dollars, a high hourly send limit, aimed at creators and small businesses. **Cons:** built for sending at volume rather than for sales conversation, and the top tier is aimed at agencies. **Best for:** coaches whose entire DM need is "someone comments a keyword, send them the link." Read our notes on [the safest Instagram DM automation tools](/blog/safest-instagram-dm-automation-tool) before pushing throughput.

### 8. respond.io: for coaches with a small team on one inbox

respond.io is a multi-channel messaging platform built around a shared team inbox, priced on the contacts you actually talk to: Starter $79/mo, Growth $159, Advanced $279, Enterprise on request, with a 7-day trial.

**Pros:** proper team routing, wide channel coverage, and pricing tied to real conversations rather than stored records. **Cons:** built for teams, so a solo coach pays for features they'll never open. It's an inbox rather than a setter, so the replies are still yours to write. **Best for:** a coaching business with two or more people answering DMs who keep tripping over each other.

## Which ManyChat alternative should you choose?

Choose by the shape of your funnel, not by the feature grid. These eight tools aren't really competing for the same job, so the useful question is which job you have.

**Stay on ManyChat if** your DMs are mostly keyword capture and broadcasts and your Active Contacts sit inside a tier. Move up a plan before a launch instead of paying overage.

**Choose InstantDM or Inrō if** you only need Instagram, your budget is under $25/mo, and nobody is negotiating a $4,000 package in your inbox.

**Choose SetSmart if** you want AI qualification at the lowest entry price and can tolerate a hard message cap.

**Choose Chatfuel if** you're running paid traffic into DMs and can't currently answer which ad produced the sale.

**Choose respond.io if** more than one human answers your DMs and two people keep replying to the same lead.

**Choose Setter AI if** your leads arrive through Meta or LinkedIn lead forms in the hundreds and you have people to hand qualified calls to.

**Choose Luca if** the DM *is* the sales call, with messy questions, price objections and follow-up over days, and you want the reply to sound like you wrote it while the approval stays in your hands.

**Run two if** the top and bottom of your funnel are different jobs: ManyChat or Inrō for the comment trigger, a setter underneath for the conversation. That's the most common setup among coaches who moved.

## A worked example: Priya's launch-month bill

Illustrative composite, not a real client. Priya coaches nutrition clients in Manchester, sells a 12-week 1:1 programme at GBP 1,800, and runs a comment-to-DM lead magnet on Reels. She was on ManyChat Essential at $14/mo and happy with it. Then one Reel went wide during her spring launch and roughly 1,900 people triggered the keyword.

The maths, using ManyChat's published rates: Essential includes 250 Active Contacts, so the remaining 1,650 bill at $0.10 each. That's $165 on top of the $14 base, about $179 for the month. The same 1,900 contacts on Pro sit inside the 2,500 allowance for $29 flat.

**Her first problem wasn't the tool.** It was a $150 plan mistake, and moving to Pro before the launch would have fixed it. We'd tell any coach that before selling them anything.

Her second problem was the one a plan change doesn't touch. A good chunk of those people replied with something the flow had no branch for: *"I've done three of these and lost nothing, is yours different?"* and *"can I do this on a shift-work schedule?"* Her flow answered both with the same booking link. She answered the rest herself, at night, in batches, two days late.

She kept ManyChat on Pro for the comment trigger and put a setter underneath it. The trigger still fires the lead magnet; the setter picks up anything that isn't a keyword and drafts a reply she approves from her phone. Cost went from a $179 surprise to $29 plus a flat fee she can forecast. The part she noticed most was answering a 10pm question at 10pm.

## Which edge cases do most comparison posts skip?

**The lead replies at 2am from another timezone.** Every tool here can send at any hour. A reply landing at 3am local time reads as automated even when it's good. Set quiet hours by the lead's timezone, not yours, and queue overnight messages for the morning. The exception is a lead who's clearly awake and mid-conversation, where matching their pace is fine.

**The 24-hour window has closed.** Meta's Messenger Platform policy allows 24 hours to respond to a user, extended to 7 days with the Human Agent tag. A lead who went quiet on day five is reachable; a lead from three weeks ago is not, whatever your tool's UI suggests. Build your [follow-up sequence](/blog/dm-follow-up-sequence) inside those limits.

**The person messaging is already a client.** Qualification questions aimed at a paying client are the fastest way to sound like a robot. Tag current clients on import and route them straight to a human.

**Two tools are connected to the same Instagram account.** During a parallel run, both subscribe to the same webhook, the feed of events Meta sends when someone messages you, and both can answer. Split by trigger, sending keywords to the old tool and everything else to the new one, or you'll double-message people in the exact week you're trying to impress them.

**You advertise to WhatsApp but sell on Instagram.** Click-to-WhatsApp ads plus an organic Instagram audience leaves you with two half-inboxes. Pick a tool covering both, or accept that one gets handled manually and staff it.

## Troubleshooting: what breaks after you switch?

| Symptom | Likely cause | Fix |
| --- | --- | --- |
| New tool won't send to imported contacts | No inbound message from that person, so no open messaging window | Wait for them to message first. Imported contact records don't reopen a Meta messaging window. |
| Bill spiked after a Reel performed | Active-contact overage on a plan sized for a normal month | Check your tier's overage rate and move up a plan before the next launch. |
| Replies sound like a stranger wrote them | Voice model trained on marketing copy, not your real threads | Feed it 20-30 of your own past DM exchanges, including ones where you pushed back on price. Approve everything for a fortnight. |
| Comment-to-DM stopped firing | Two tools subscribed to the same Instagram account | Disconnect the redundant integration, or split triggers explicitly between them. |
| Leads report getting two replies | Old flows still live during the parallel run | Pause old flows rather than deleting them, and audit the keyword list before you flip the switch. |
| Instagram threw an action block after migration | Send volume jumped from zero to full pace on a fresh integration | Ramp over 7-10 days at human intervals. See our [Instagram DM automation rules](/blog/instagram-dm-automation-rules-2026). |

## How to migrate off ManyChat without losing leads

Migrate in parallel over two weeks, not overnight. ManyChat's help docs confirm you can export contact data (custom fields, system fields, and tags) to CSV or Google Sheets, with tags exported as True/False values. They say nothing about exporting flows, message history, or delivery status. Plan around that gap.

**Step 1: Export before you cancel.** Pull contacts to CSV. On the Google Sheets route, ManyChat notes a limit of 250 requests per 100 seconds, so a big list has to go over in batches or rows vanish with no warning. Check the row count against your dashboard.

**Step 2: Audit your keywords.** Write down each live trigger word, what it sends, and how many people hit it last month. Most coaches find three to six that still matter and a dozen that were experiments. Rebuild only the ones with real traffic.

**Step 3: Screenshot your flows.** Flows don't export. Capture each canvas and copy the message text into a document. It's tedious, and it's the step people skip and regret.

**Step 4: Rebuild in parallel, not in place.** Connect the new tool while ManyChat still runs. Route one trigger, your lowest-volume lead magnet, and leave the rest alone for a week.

**Step 5: Move the conversation layer first.** If you're adding a setter rather than swapping like-for-like, hand it the messages that *aren't* keyword triggers. Those are the ones ManyChat was never going to handle, so it's the fastest read on the new tool.

**Step 6: Cut over on a quiet week.** Not during a launch, and not in the 48 hours after a big post. Pause ManyChat flows rather than deleting the account, and keep it alive one more billing cycle as a rollback.

**What doesn't transfer:** flow logic, conversation history, ManyChat-specific tags in a form another tool reads, growth-tool assets like QR codes and ref URLs, and any open messaging window. Your contact list transfers; your permission to message it does not, because under Meta's policy the window reopens when they message you.

Moving to a setter? [Our full setter guide](/ai-setter) covers voice training, and [making AI DMs sound like you](/blog/make-ai-dms-sound-like-you) covers the part most coaches get wrong in week one.

## What mistakes do coaches make when replacing ManyChat?

Six of them cost real money, and the first is the one almost everybody makes.

**Buying on sticker price instead of billing unit.** $9.99 with an hourly automation cap, $25 with a 250-message ceiling, and $99 flat behave very differently in a month where one post lands. Model your worst month, not your average.

**Cancelling ManyChat before you've opened the export.** The CSV either has your custom fields or it doesn't, and you only find out by opening it.

**Rebuilding the same broken flow in a new tool.** If your flow dead-ended on "is this right for me?", a prettier builder produces the same dead end. Move that question to something that answers rather than routes.

**Turning auto-send on in week one.** Reply quality depends on what the tool has learned from you, and it has learned nothing on day one. Approve manually until you stop editing drafts.

**Judging a tool on a 7-day trial with no leads coming in.** A week with four inbound DMs tells you nothing. Line the trial up with a week you're actually posting.

**Treating "AI" as one single feature.** ManyChat Pro's AI conversations, SetSmart's AI messages, Inrō's AI credits, and a setter's drafted replies wear the same word for four different products. Ask what each does with a message it hasn't seen before.

## One honest limit

Luca isn't a broadcast or growth-tool engine, and swapping ManyChat for Luca one-for-one will leave you worse off in one specific way: you'll lose comment-to-DM triggers, giveaway mechanics, and list broadcasts. Those are real features and ManyChat does them well. There's also no free tier on Luca, so you can't test it the way you tested ManyChat.

There's a second limit worth stating. A human setter still wins on a certain kind of lead: the one who's emotionally invested, half-decided, and reading tone. A drafted reply plus your approval gets close, and it doesn't get all the way. That's the argument for keeping yourself in the loop rather than automating yourself out of it, and it's why the review queue is on by default instead of being a setting we buried. If your inbox is small enough that you can answer every message thoughtfully within an hour, do that. You don't need any tool on this page yet.

If the conversation is where your coaching sells, see what a setter costs on [Luca's pricing](/pricing) page.

## FAQ

### What is the best ManyChat alternative for coaches in 2026?

It depends on the job. For Instagram capture on a budget, InstantDM at $9.99/mo or Inrō's free 100-contact tier. For AI qualification cheaply, SetSmart from $25/mo. For real DM sales conversations with human approval, Luca at $99-$499/mo flat. For teams, respond.io from $79/mo.

### Is ManyChat still free in 2026?

Yes, with tight limits. ManyChat's Free plan documentation lists 25 Active Contacts per month, up to 4 live automations, 2 channels, 1 user, and a "Powered by Manychat" branding message on first contact. WhatsApp, SMS, and email aren't included. Most coaches burn through 25 contacts on one Reel that does well.

### Why did my ManyChat bill go up without me changing anything?

ManyChat bills on monthly Active Contacts, so engagement spikes raise the bill. Essential includes 250 contacts and charges $0.10 per extra, so 1,800 contacts costs roughly $169 that month. The same volume on Pro ($29, 2,500 included) costs $29. ManyChat's Billing FAQ notes no payment cap is available.

### Can I export my contacts out of ManyChat?

Yes. ManyChat's help documentation covers exporting contact data (custom fields, system fields, and tags) to CSV or Google Sheets, with tags exported as True/False values. The Google Sheets route is limited to 250 requests per 100 seconds. Flows, conversation history, and growth-tool assets are not covered by that export.

### Which ManyChat alternative is cheapest for coaches?

InstantDM at $9.99/mo for Instagram and Facebook automation, followed by Inrō's free plan (100 active contacts, 3 campaigns, 50 AI credits) and Inrō Pro at EUR 12.99/mo. SetSmart Light is $25/mo for 250 AI messages. All three are cheaper than ManyChat Business at $69/mo.

### Do I have to tell leads they're talking to AI?

Yes, and it helps you. Twilio's 2025 State of Customer Engagement report found 54% of consumers want to know when they're talking to AI rather than a human. Disclose it plainly in your reply or your bio. Meta's platform policies and several state laws also require honest disclosure of automated messaging.

### Can I run ManyChat and an AI setter at the same time?

Yes, and it's the most common setup among coaches who switch. ManyChat handles comment triggers and lead-magnet delivery; the setter handles everything that isn't a keyword. Split by trigger so both tools don't answer the same message, which is the main failure mode during a parallel run.

### How long does it take to migrate off ManyChat?

Plan two weeks. Export contacts, screenshot every flow, rebuild only the three to six triggers with real traffic, run one low-volume trigger through the new tool for a week, then cut over on a quiet week. Keep the ManyChat account alive one extra billing cycle as a rollback.
