---# CloseBot Review and the Best CloseBot Alternative for Coaches

> CloseBot is an AI sales agent builder for agencies, built to qualify leads and book appointments inside GoHighLevel, HubSpot or a custom CRM. It has a free plan with 100 AI replies, Core from $97/mo and an Agency plan at $397/mo plus $0.012 per message. Coaches who answer their own DMs usually want a simpler, CRM-free CloseBot alternative instead.

## Key takeaways

- CloseBot has pointed itself at agencies. Its own V2 announcement calls the platform "purpose-built for agency owners," and the older product is now CloseBot Classic. A solo coach is no longer the customer it's designed around.
- CloseBot pricing, checked October 15, 2026: Free (100 AI replies), Core from $97/mo on monthly billing and tiered by volume up to $997 at 100,000 replies, and Agency at $397/mo plus $0.012 per rebillable message.
- Three tools start cheaper than CloseBot Core, and none of them beats it at agency volume: SetSmart Light at $25, ManyChat Pro at $39 monthly ($29 billed annually), and Chatfuel Business at $18/mo billed yearly. Coaches leave for reasons other than price.
- Channel support comes from your CRM. CloseBot handles "chats across all channels in your CRM," which means your Instagram DM support is really GoHighLevel's or HubSpot's.
- We built Luca, so discount our verdict accordingly. Five tools below beat us for specific readers, and we name them.

## What is CloseBot?

CloseBot is an AI sales agent builder that qualifies leads and books appointments through conversations in your CRM. It runs on top of GoHighLevel, HubSpot or a custom CRM, or standalone, and its current platform is built for agencies, with client rebilling and a white-label portal. You build each agent from Job Flows, Personas and knowledge sources.

## Why do coaches look for a CloseBot alternative?

The right CloseBot alternative depends on who runs your DMs. Coaches answering their own DMs should look at SetSmart or Luca. If your leads come from ad forms into WhatsApp or SMS, look at Setter AI. Agencies wanting a like-for-like swap should look at Appointwise or GoHighLevel's own Conversation AI. Our [comparison hub](/comparison) lines these up side by side. Most coaches don't leave CloseBot because it stopped working. They leave because CloseBot decided who it was for, and it wasn't them.

Read CloseBot's own V2 announcement from May 2025 and the direction is plain. The platform is "purpose-built for agency owners." The original product gets renamed CloseBot Classic, and the flagship features are re-billing controls. An agency marks up seats, storage, message volume and token costs through a client wallet. Those are things an agency sells, not things a coach uses.

### Your channels belong to the CRM, not to CloseBot

Your channel support comes from your CRM, not from CloseBot. That's the second reason coaches go looking. CloseBot's homepage describes agentic AI that works "across your existing HighLevel, HubSpot and Custom CRM systems." It handles "chats across all channels in your CRM." That suits an agency already in GoHighLevel. For a coach it means your Instagram integration belongs to your CRM rather than to CloseBot, so when Instagram breaks you're debugging two products. Coaches who never wanted a CRM end up paying for one just to reach their own inbox. That's the same trap we described in the [best Instagram DM tool for coaches](/blog/best-instagram-dm-tool-for-coaches) roundup.

### The build time lands on whoever runs it

The third reason is build time, and it doesn't shrink. CloseBot is an agent builder, and its help centre shows it: the Job Flows section alone carries 34 articles, alongside Personas, Sources, Knowledge Library and Chat Widget collections. An agency amortises that learning across twenty clients. A coach amortises it across one, in the evenings, between calls.

The fourth reason is that the thing you bought can move. ZappyChat customers learned that when CloseBot acquired the product in June 2025 and set a January 1, 2026 sunset date.

## Who should stay on CloseBot?

Stay if you're an agency and the money works. CloseBot's Core plan starts at $97/mo on monthly billing, tiered flat by your message volume with no per-message overage. Its separate Agency plan is $397/mo ($331/mo billed annually) and bills at $0.012 per message, rebillable to clients. That rate dropped from about $0.020 in November 2025, when CloseBot moved AI processing in-house and stopped asking agencies to bring their own OpenAI keys.

At agency volume, Core's own ladder reaches $497/mo for twenty thousand messages, flat, with no per-message overage to track. Agencies that want built-in client rebilling pick the Agency plan instead, at $397/mo plus $0.012 per message. A flat-rate setter is a cost you carry; CloseBot's agency tier is a cost you pass on.

Stay, too, if you're deep in GoHighLevel and your leads arrive by form, SMS and email rather than by DM. Leave when you're the one maintaining it and nobody's paying you to.

## CloseBot pricing

CloseBot sells three Business-side plans and a separate Agency plan. Checked on closebot.com/plans on October 15, 2026, with annual billing roughly two months cheaper than monthly:

| Plan | Price | What you get |
| --- | --- | --- |
| Free | $0 | 100 AI replies a month, unlimited AI agents, 1 seat |
| Core (business) | From $97/mo monthly | Tiered by volume: $147 at 1K, $197 at 2K, $297 at 5K, $497 at 20K, $997 at 100K replies; 7-day trial |
| Agency | $397/mo, or $331/mo annually | Unlimited messages at $0.012 each, rebillable; white-label client portal; 7-day trial |
| Growth | Custom | SLAs, HIPAA compliance, quarterly audits |

## CloseBot AI and GoHighLevel

CloseBot AI started life as an add-on for GoHighLevel agencies, and that's still where it fits most naturally. It connects to a HighLevel sub-account, reads conversations from whichever channels that account has connected, and replies and books through HighLevel's calendars. GoHighLevel now ships its own Conversation AI, so the real question for a HighLevel user is whether CloseBot's agent builder and rebilling are worth paying for on top. For agencies with many clients, often yes. For a single coach, usually not.

## What are the best CloseBot alternatives at a glance?

Read the "best for" column before the price. The cheapest row is how coaches end up paying $29 for a tool that can't do the job.

| Tool | Best for | Entry price (Oct 2026) | Needs a CRM | Channels | AI qualification |
| --- | --- | --- | --- | --- | --- |
| CloseBot (baseline) | Agencies re-billing clients | $0 free / $97/mo Core | Works best with one | Whatever your CRM connects | Yes, you build the flows |
| Luca | Coaches closing high-ticket in DMs | $99/mo | No | Telegram, Instagram and Messenger live; WhatsApp coming soon | Drafts the way you write, auto-send on by default, review on any channel |
| Appointwise | Agencies wanting a done-for-you setter | $97/mo Starter | GHL native, not required | SMS, WhatsApp, Instagram, Messenger | Yes |
| Setter AI | Paid-ad lead flow at speed | $497/mo (credits) | No | WhatsApp, SMS, website widget | Yes, credit-based |
| SetSmart | Watching cost per message | $25/mo Light | No | WhatsApp, Instagram, Messenger | Yes, every plan |
| GoHighLevel Conversation AI | People already paying for GHL | $97/mo plus usage | It is the CRM | Whatever GHL connects | Yes, usage-billed |
| ManyChat | Comment-to-DM at volume | $0 free / $39/mo Pro | No | Instagram, Messenger, Telegram, TikTok, WhatsApp | Manychat AI, included from Pro |
| Chatfuel | Flat-rate AI across IG and WhatsApp | $18/mo billed yearly (Business) | No | Instagram, Facebook, WhatsApp, TikTok | AI sales manager |

Every price sits in Sources with the date we checked it. The gap that decides your bill is metered versus flat pricing, not $25 versus $99. Metered pricing looks cheap at today's volume and stops looking cheap the month your content works.

Line chart comparing monthly cost as message volume rises for CloseBot Business Core's flat volume tiers and SetSmart Pro with auto top-ups, from 100 to 20,000 messages

Modelled from published rates, retrieved September 2026: CloseBot Business Core (a flat monthly fee that rises with your message-volume slider, from $97 up to $497 at 20,000 messages, with no per-message overage) and SetSmart Pricing ($97/mo Pro, 1,000 messages, auto top-ups at $100 per 1,000).

## How did we evaluate these tools?

We build Luca. That's a conflict of interest, so here's the method and here's what to discount.

We opened every vendor's own pricing page and recorded plan names, prices, allowances and channels as written, and rechecked the prices on October 15, 2026. Nothing comes from a roundup site or from memory. Where a site doesn't publish a price, or its own pages disagree, we say so rather than guess.

### What we didn't test, and the one tool we cut

We didn't run a head-to-head conversion test. There's no fair way to do that on someone else's account, and any vendor claiming "3x more bookings" in a comparison post is marketing, ours included. So we judged what's checkable: cost at your volume, whether it needs a CRM, which channels it reaches, and how much setup lands on you.

One product we checked didn't make the shortlist. ZeroChats is genuinely strong for Spanish-language sales teams on GoHighLevel. We cut it because its site doesn't publish a price in either language; you only see a number after you start a trial inside the app. A tool you can't price out before signing up didn't make our shortlist. Our [ZeroChats review](/blog/zerochats-review) goes deeper.

## Luca

**Best for:** coaches closing high-ticket offers in their own DMs, without a CRM underneath, once their channel is live.

Luca reads each inbound DM, qualifies the lead, and drafts a reply the way you write. It only answers people who messaged first. Auto-send is on by default on every channel, and you can switch any channel to review. Telegram, Instagram and Messenger are live today, and WhatsApp is coming soon. Pricing is $99, $249 or $499 a month for 1,250, 4,000 or 8,500 replies. Every Luca plan comes with a 7-day free trial (card required).

### What Luca connects to, and what it won't do

Luca sits between your DM channels and the booking link you want filled, and that's the whole surface. Telegram, Instagram and Messenger are live today, and WhatsApp is coming soon. There is no CRM to buy, no client sub-accounts, and no channel authorised through an agency you may no longer be working with. HubSpot, GoHighLevel and iClosed integrations are in progress, not live.

The list of things it won't do is short and firm. It won't message anyone who hasn't messaged you first. On a channel set to review, it won't send a reply you haven't approved. It won't chase a quiet lead forever: follow-ups, on the Pro and Scale plans, stop and leave the door open. And it won't run SMS, email or comment-to-DM automations. That's the honest reason a coach whose leads arrive through a Facebook ad form should read the Setter AI section instead of this one.

### Where Luca wins, and where it's the wrong shape

**Pros:** no CRM required; replies drafted the way you write. Auto-send is on by default on every channel, and you can switch any channel to review; flat pricing by replies.

**Cons:** no white-label, no client sub-accounts and no re-billing. For an agency, Luca is the wrong shape, and it won't beat CloseBot on cost per message.

Luca offers review on every channel for a reason. A bad prompt doesn't get to quote the wrong price to your best lead before you catch it. Reviewing drafts costs a few minutes a day and builds confidence that the model matches the way you write. We hold every tool to that standard in our [best AI DM setter](/blog/best-ai-dm-setter) rankings.

## Appointwise

**Best for:** agencies leaving CloseBot who want the setter built for them instead of by them.

Appointwise is the closest like-for-like swap here. It covers SMS, WhatsApp, Instagram and Facebook Messenger, integrates natively with GoHighLevel, and sells in agency tiers by client count.

Its pricing is one ladder, not two. The homepage advertises a $97/mo Starter and a $297/mo Growth plan, which includes 10 sub-accounts with extra ones at $29 each; Enterprise is custom. A second pricing page some posts cite for Appointwise doesn't resolve, so go by the homepage numbers and confirm them before you enter a card.

### Where Appointwise beats Luca

**Pros:** done-for-you AI templates; per-client sub-accounts; short migration, since the CRM stays put.

**Cons:** no separate pricing page to double-check the homepage against; less control over model behaviour than a builder; agency-first, so a solo coach buys seats they'll never use.

**Honest verdict:** if you run five or more client accounts and you're tired of maintaining Job Flows, Appointwise beats Luca outright. Our [Appointwise vs Setter AI](/blog/appointwise-vs-setter-ai) comparison covers that matchup.

## Setter AI

**Best for:** coaches and agencies running paid-ad lead flow who need a reply in seconds.

Setter AI is built around speed to lead from form fills. It replies over WhatsApp, SMS text or a website widget, connects to lead forms through Zapier or Make, books into Calendly, and integrates with GoHighLevel and HubSpot on request.

Its pricing page now sells credit tiers rather than lead caps. Monthly plans are $497 (500 credits, shown as 1,000 for a limited period), $2,297 and $3,497. Yearly plans work out to about $397, $1,997 and $2,997 a month. No free tier is shown (trysetter.com/pricing, checked October 15, 2026). Our [Setter AI pricing](/blog/setter-ai-pricing) explainer breaks down which tier fits which volume.

### Where Setter AI beats Luca

**Pros:** fast on inbound form leads; no prompting required to start; onboarding at higher tiers.

**Cons:** the entry price is high for a solo coach; no DM-first Instagram handling; credit-based billing needs watching at ad volume.

**Honest verdict:** if your leads come from Meta lead forms and every minute of delay costs a booking, Setter AI beats Luca. Different pipeline, different tool.

## SetSmart

**Best for:** coaches who want AI qualification and want to watch the meter.

SetSmart covers WhatsApp, Instagram and Messenger on every plan, with qualification, booking and follow-ups at all tiers. Light is $25/mo with 250 AI messages and a hard cap. Pro is $97/mo with 1,000 messages, then auto top-ups at $100 per 1,000. Scale is $297/mo with 4,000 and top-ups at $70 per 1,000. Enterprise is $797/mo with 15,000.

### What SetSmart connects to, and how it counts a message

SetSmart books into the calendar you already use rather than into a CRM. Its pricing page names Calendly, Cal.com, iClosed and GoHighLevel for booking, plus Shopify for commerce. Everything else runs through REST API access or a Claude MCP connector. Three channels, four booking destinations, no CRM required. Telegram isn't on the list.

Read the metering rule before you read the price. SetSmart counts each AI reply as one message, and says WhatsApp template messages and replies from its smaller models count as half. That is the difference between a 1,000-message plan lasting a month and lasting a fortnight. Two controls sit beside it. You can set a monthly cap, or switch auto top-ups off entirely, which turns Pro from an open meter into a fixed bill. Support is live chat. Pro and Scale both carry a seven-day trial, so you can test the metering before you commit to it.

### Where SetSmart beats Luca

**Pros:** the cheapest real AI qualification here; voice notes and image understanding on all plans; the hard cap on Light means no surprises.

**Cons:** auto top-ups on Pro can outrun the tier above. Three top-ups cost $397, more than Scale, for fewer messages.

**Honest verdict:** SetSmart Light at $25 beats paying us $99 if you send under 250 AI messages a month, and SetSmart covers Instagram today, which Luca doesn't yet. Test the idea there before you pay more for it. Read our [SetSmart alternative](/blog/best-setsmart-alternative-for-coaches) breakdown when you outgrow it.

## GoHighLevel Conversation AI

**Best for:** people already paying for GoHighLevel who forgot it ships an AI.

GoHighLevel's own AI is the awkward one for CloseBot leavers. CloseBot sits on top of GoHighLevel, and GoHighLevel has its own Conversation AI. Plans are $97/mo Starter, $297/mo Unlimited and $497/mo Agency Pro, with AI Employee add-ons at $50/mo or $97/mo per sub-account and usage charges on top.

### What you already own on a GoHighLevel plan

You already own the CRM, the calendars, the pipelines and the phone and email rails, on every tier. HighLevel's pricing page puts unlimited contacts and unlimited users on all three plans. It lists Conversation AI beside Voice AI, Content AI, Funnel AI and Reviews AI as platform features. Starter carries 24/7 support. The higher tiers let you re-bill phone and email to clients, which is the same trick CloseBot sells one layer up.

Two lines on that page deserve a slow read. The first is "usage based charges apply," attached to the AI features rather than to the subscription. The second describes what you are buying as "software functionality only," needing "setup, configuration, and ongoing human oversight." That's HighLevel telling you, on its own pricing page, that you set up Conversation AI and then watch it. Budget the evenings, not only the $97.

### Where turning on GoHighLevel's own AI beats buying anything

**Pros:** nothing new to integrate; calendars, contacts and pipelines already there; one bill.

**Cons:** HighLevel does publish the token rates it charges by model, on a separate "AI Product Pricing Update" help page. Its fixed-rate rebilling article, where the "$0.50 per Conversation AI message" example lives, only says "your agency is always charged by HighLevel based on actual token consumption," without repeating those per-model rates. You control what clients pay, and what HighLevel bills you is public too, so forecasting is more knowable than that one article alone suggests.

**Honest verdict:** if you already spend $297/mo on GoHighLevel and your leads arrive by SMS and email, switch on Conversation AI before buying anything here, ours included. Our [GoHighLevel Conversation AI review](/blog/gohighlevel-conversation-ai-review) covers where it holds up, and our [GoHighLevel AI appointment setter](/blog/gohighlevel-ai-appointment-setter) guide covers setup.

## ManyChat

**Best for:** comment-to-DM link delivery at volume, cheaply.

ManyChat runs Free at $0 with 25 contacts, Essential at $17/mo with 250 and Pro at $39/mo with 2,500 ($14 and $29 billed annually). Business is $99/mo with 7,500 contacts and Advanced is $199/mo with 25,000 ($69 and $139 billed annually). Free and Essential allow two channels, Pro three, Business and above all eligible channels. Under ManyChat's current pricing, Manychat AI is included from Pro up at no extra cost.

### Where ManyChat beats every AI setter here

**Pros:** cheap; huge template library; the best comment-to-DM trigger in the category.

**Cons:** it's a flow builder first. Multi-day qualification isn't the job it was designed for.

**Honest verdict:** if your bottleneck is delivering a lead magnet to everyone who comments "GUIDE," ManyChat at $39 a month beats every AI setter here, ours included. We put it beside its nearest rival in [ManyChat vs Chatfuel](/blog/manychat-vs-chatfuel).

## Chatfuel

**Best for:** flat-rate AI across Instagram, Facebook, WhatsApp, and TikTok.

Chatfuel's pricing page now shows two plans. Business is US$18 a month billed yearly (US$216 a year) with US$20 of AI credits a month. Agency S is US$90 a month billed yearly (US$1,080 a year) with US$100 of AI credits and three companies. Monthly billing costs about 10% more. Every plan starts with a free trial, no card required, and the page says usage limits apply and links elsewhere rather than printing them.

### What Chatfuel connects to, and the number nobody publishes

Chatfuel connects to Google Sheets, Stripe, Zapier and its own API, and that is the list its pricing page prints. It includes its own CRM and shared inbox, so nothing extra sits underneath.

The pricing page leaves one number out. Chatfuel says "usage limits apply" and points at a separate plan-limits article for the actual figures. It doesn't publish what one AI conversation costs out of the credit wallet. So we can't tell you how far US$20 goes, and we won't guess. Ask Chatfuel for the current limit in writing before you move a channel across.

### Where Chatfuel is the value pick

**Pros:** WhatsApp at the entry tier, unlike ManyChat; every plan covers the same channel set; a free trial with no card to test it.

**Cons:** the limits live somewhere other than the pricing page, there's no free plan any more, and there's no Telegram.

**Honest verdict:** for a coach selling on Instagram and WhatsApp, Chatfuel at US$18 a month billed yearly is the value pick, as long as the AI-credit allowance covers your volume.

## How do you migrate off CloseBot without losing bookings?

Run the new tool alongside CloseBot for two weeks before you cancel anything. A same-day cutover is the easiest way to lose bookings mid-switch.

### Take your data and your qualification logic out first

**1. Export what you actually own.** Your conversation history usually lives in the CRM rather than in CloseBot. Pull contacts, tags and bookings out of GoHighLevel or HubSpot first, because that's the record you'll need in March.

**2. Write down what the bot currently does.** Screenshot your Job Flows. You're migrating decisions, not a file: which questions it asks, what disqualifies a lead, when it offers the calendar. None of that transfers automatically.

**3. Connect the new tool to a calendar, not to your CRM.** Point it at the booking link you want filled. If the tool is CRM-free, this removes a whole layer of failure.

### Move one channel at a time, then cancel on a boundary

**4. Split traffic, don't switch it.** Send one channel to the new tool and leave the rest on CloseBot. Instagram is the usual first move, since it's the channel a CRM handles worst.

**5. Warm the new setup up, and review replies for ten days.** A tool answering sixty conversations on day one from an account with no automation history is asking for a rate limit. Ramp over a week and read our [Instagram DM automation safety guide](/blog/is-instagram-dm-automation-safe) first. The constraint is the platform's tolerance, not the software's capacity. Reviewing catches the wrong price at message forty rather than message four hundred.

**6. Cancel on a boundary.** CloseBot's Core plan is month to month with no lock-in. Cancel at the end of a billing period once the new tool has booked calls two weeks running. Our [step-by-step AI setter setup](/blog/how-to-set-up-an-ai-setter) guide covers the connection order.

## What does switching off CloseBot actually cost?

More per month than CloseBot, in nearly every case, and less of your week. Here's the arithmetic on a real-shaped decision. Figures are illustrative, built from the published rates in Sources.

Dani coaches strength athletes, sells a $2,400 twelve-week program, and books calls from Instagram DMs. Her agency put her on CloseBot inside a GoHighLevel sub-account eighteen months ago. She runs about 3,200 AI messages a month.

**What CloseBot costs her agency.** The Agency plan is $397/mo, billed onward at $0.012 per message. At 3,200 messages that's $38.40 of usage on top, so the agency's real bill is about $435.

**What Dani pays.** Her agency re-bills at $0.05 a message plus a $150 retainer: $160 plus $150, or $310 a month. HighLevel's own documentation shows example rebill rates as high as $0.50 per message, so a 4x markup is mild.

### What the same volume costs everywhere else

**What the alternatives cost at 3,200 messages.** SetSmart Pro is $97 plus three $100 top-ups, landing at $397; Scale is $297 flat and includes 4,000. If about 3,200 of those are replies, Luca's $249 plan covers them with its 4,000-reply allowance. Appointwise's Starter plan, its only self-serve tier at this scale, is $97; it isn't metered by message volume the way these others are.

Ranked by price: Appointwise at $97, Luca at $249, SetSmart Scale at $297, Dani's bill at $310, CloseBot's own agency-tier cost at about $435.

CloseBot doesn't win on price here. Once you count the Agency plan's $397/mo base, it's the priciest line in this table, not the cheapest. Dani left for a different reason anyway: the two-day turnaround on changing one qualification question decided it, not the subscription line. Check your own numbers against the wider [AI appointment setter cost](/blog/how-much-does-an-ai-appointment-setter-cost) picture before assuming a flat fee is cheaper.

## Which CloseBot alternative should you choose?

Choose by pipeline shape, then by who maintains it.

### If an agency or a CRM already runs your pipeline

- **Choose Appointwise** if you run five or more client accounts, you're staying in GoHighLevel, and you want templates instead of a builder. Confirm which price set applies first.
- **Choose GoHighLevel Conversation AI** if you already pay for GoHighLevel and your leads arrive by form, SMS or email. Turn on what you own before buying something new.
- **Do both** if you're an agency serving coaches: keep CloseBot on CRM-native accounts and put a DM-first tool on the Instagram-heavy ones.
- **Stay on CloseBot** if you're the one building the flows and you're being paid for it.

### If you answer your own DMs

- **Choose Luca** if you close high-ticket offers in your DMs, you don't want a CRM, and you want to approve replies before they send. Telegram, Instagram and Messenger are live today.
- **Choose SetSmart** if you want the cheapest real AI qualification and you'll watch a meter.
- **Choose Setter AI** if your leads come from paid ad forms and speed to first reply is the whole game.
- **Choose ManyChat or Chatfuel** if you need comment-to-DM delivery rather than multi-day qualification.

## What usually breaks after you switch?

Three edge cases catch people first. Finish any lead who was mid-conversation on cutover day by hand, rather than handing them to a model with no memory of what was promised. Suppress anyone who already bought before you connect anything: a qualification sequence aimed at a paying client reads as insulting. And a lead replying to an old CloseBot message after you disconnect lands in the CRM inbox, so watch it for a fortnight.

Five failures account for most of the rest of the first-month mess.

| Symptom | Likely cause | Fix |
| --- | --- | --- |
| Leads get two replies, one from each tool | CloseBot is still connected to the same channel | Disconnect the channel in the CRM, not just in CloseBot. The integration lives at the CRM layer |
| New tool never sees the conversation | The channel was authorised under an agency account you no longer control | Re-authorise from the account that owns the page or number, then reconnect |
| Replies stop after a day, no error message | You hit a platform rate limit by starting at full volume | Pause sends, drop well below yesterday's volume, ramp over a week |
| The AI quotes old pricing | Knowledge base rebuilt from an outdated export | Rewrite the offer and price block by hand instead of importing the old one |
| Replies arrive at 3am for the lead | The tool inherited the CRM's timezone rather than the lead's | Set sending hours in the lead's local time and hold overnight replies until morning |

## What are the most common mistakes when replacing CloseBot?

**Buying on the sticker price.** Comparing $97 to $99 and stopping. The comparable number is total cost at your real volume, including your agency's markup, top-ups, and how much of your evening the tool eats.

**Migrating the flow instead of the decisions.** Rebuilding a Job Flow branch by branch in a tool that doesn't work that way. The qualification logic transfers; the structure shouldn't. Write down what you need to learn about a lead, then build that.

**Assuming the CRM connection is portable.** Your Instagram integration was authorised through GoHighLevel or HubSpot. Disconnecting CloseBot doesn't release it, and reconnecting elsewhere often needs the original account owner.

**Letting the new tool close.** Handing pricing conversations and objections to an AI because the last tool technically could. Qualification and booking automate well; the money conversation is yours.

**Skipping the warm-up.** Turning on a new tool at yesterday's volume from a fresh integration. Platforms read a spike in outbound replies as exactly what it looks like.

## When is a human setter still better than any of these?

When the lead is complicated, upset, or worth a lot of money. No tool here reads a long message about a divorce and a job loss and knows the right reply is one sentence and a question about timing. A good human setter does that without thinking.

Human setters also win the second-order read. A lead who says "let me check with my wife" might mean money, might mean fear, might mean genuine partnership. A human hears which one from the two messages before it. AI qualification is strong on structured questions and follow-up discipline, and weak at the thing that makes a great setter expensive.

Humans also win wherever being wrong is costly: custom pricing, refunds, a client in crisis, a public complaint.

Luca's follow-ups stop rather than chasing forever for the same reason. A sequence with no end turns a lead into someone who blocks you. A human setter knows when the sixth message ends the relationship. Software has to be told.

## Choosing your CloseBot alternative

The best CloseBot alternative for you comes down to one question: who maintains the thing? If it's an agency you're paying and the money works, stay. CloseBot is cheap, capable and honest about being built for agencies.

If it's you, at night, learning a flow builder so your DMs get answered, you bought the wrong shape of product. A coach needs a setter that connects to the channels they already sell in, replies at human pace, and lets them read each reply before it goes out in their name. Pick the row that matches your pipeline and run it beside CloseBot for two weeks. For more options, see our [best AI appointment setter](/blog/best-ai-appointment-setter-software) roundup.

Luca starts at $99 a month for 1,250 replies, drafting each one the way you write. Telegram, Instagram and Messenger are live, and WhatsApp is coming soon. [See Luca's pricing](/pricing).

## FAQ

### What is CloseBot?

CloseBot is an AI sales agent platform that qualifies leads and books appointments through conversations in your CRM. It works on top of GoHighLevel, HubSpot or a custom CRM, or standalone, and its V2 platform is "purpose-built for agency owners," with client rebilling and a white-label portal. You build the agents with Job Flows, Personas and knowledge sources.

### How much does CloseBot cost?

CloseBot has a free plan with 100 AI replies a month. Core starts at $97 a month on monthly billing and scales by volume, to $997 at 100,000 replies, with annual billing about two months cheaper. The Agency plan is $397 a month plus $0.012 per message, rebillable to clients (closebot.com/plans, checked October 15, 2026).

### Does CloseBot only work with GoHighLevel?

No. CloseBot integrates with HighLevel, HubSpot and custom CRMs, and its site says it's standalone compatible. In practice your channel support comes from whichever CRM you connect, so an Instagram-first coach with no CRM gets less out of it than a GoHighLevel agency does, where SMS, email and social inboxes already sit.

### Is CloseBot worth it?

CloseBot is worth it for agencies that build AI setters for many clients and rebill the usage, because the Agency plan's $0.012-per-message rate is low at volume. It's less worth it for a solo coach. You take on an agent builder, a CRM dependency and the ongoing maintenance, with nobody paying you for that time.

### What is the best CloseBot alternative for coaches?

For coaches answering their own DMs, SetSmart is the cheapest real AI qualification at $25 a month, and Luca drafts replies the way you write from $99 a month, live on Telegram, Instagram and Messenger. For agencies, Appointwise is the closest like-for-like swap. Match the tool to your pipeline shape, not the lowest price.
