---# Appointwise Review (2026): Pricing, Free Trial and Who It's For

> This Appointwise review is written by a competitor, so read it with that in mind. Appointwise is an AI appointment setter built around agencies running GoHighLevel, covering SMS, WhatsApp, Instagram and Facebook Messenger. It fits agencies with several client accounts and an SMS-heavy pipeline. It fits a solo coach closing high-ticket offers in Instagram DMs much less well. Its own site publishes one price ladder, and the only extra to watch for is the $29/mo add-on past Growth's included ten sub-accounts.

## Key takeaways

- Appointwise publishes one price ladder. Starter is $97/mo and Growth is $297/mo, with 10 included sub-accounts and a $29/mo add-on per extra one; Enterprise is a custom quote. There's no separate pricing page, and appointwise.io/pricing 404s. Verified October 16, 2026.
- The free trial is 14 days, and the homepage and terms and conditions agree: "14 days free" and "a 2-week complimentary trial." It requires a card and converts automatically to a paid plan unless you cancel first.
- It is agency software. Sub-accounts, per-client integrations and a native GoHighLevel connection are the spine of the product.
- Conversation limits are not published anywhere on the site. The homepage advertises "unlimited leads," which counts leads, not messages.
- We build Luca, a competing DM sales platform. Appointwise beats us outright for three types of buyer, and we name all three below.

---

## What is Appointwise, and who is it built for?

Appointwise is an AI setter that replies to inbound leads, qualifies them and books them onto a calendar. Its homepage names the audience directly: "Agencies, Coaches and Consultants." Everything else on the site leans hard toward the first word.

The channels are SMS, WhatsApp, Instagram and Facebook Messenger (Appointwise homepage, October 16, 2026). The one named CRM integration is GoHighLevel, described as native, with a line promising "Further CRM integrations launching very soon." No other CRM is listed as live.

Appointwise's channel and CRM list tells you the buyer. Agencies running paid lead generation for clients live inside GoHighLevel and route form fills into SMS. They need one setter working across many client accounts at once. A coach who never touches a CRM and closes in Instagram DMs is a different animal, and the pricing page barely acknowledges that person exists.

## How did we run this Appointwise review?

We are the vendor of a competing product. Luca is the DM sales platform for coaches, so we have an obvious commercial reason to want you to pick us. Discount everything below accordingly and check the sources yourself.

The rules we set: every fact comes from Appointwise's own pages, fetched on the day of publication and stamped with a retrieval date. Nothing comes from a review-site roundup or a directory listing. Where Appointwise doesn't publish something, we say it isn't published rather than guessing. We read the terms and the privacy policy too, because a pricing page is marketing and the terms are the contract. And the verdict has to name readers better served elsewhere, or it isn't a review.

## What does Appointwise actually do?

Appointwise answers new leads, asks qualifying questions, handles the back and forth, and books the call. Its homepage lists six things on the entry plan: 24/7 support, campaign split testing, revenue analytics, a lead dashboard, a test environment, and unlimited leads.

### What do the higher tiers add?

The second tier buys client separation and voice. The homepage Growth plan lists 10 sub-accounts, 10 AI agents per sub-account, voice notes and revenue-tracking analytics. Sub-accounts are the giveaway: a separate agent per client is exactly what an agency needs and exactly what a solo coach will never open.

Voice notes are behind that Growth tier, which is worth knowing if they matter to you. A voice note lands differently in a DM than a paragraph of text. We covered the mechanics in our guide to [using voice notes to close in the DMs](/blog/voice-notes-in-dms-for-sales).

### What does Appointwise do with your lead data?

The privacy policy is unusually specific about this. Content sent to AI providers, "currently including OpenAI," is not used to train those models and is kept only briefly for abuse monitoring. Hosting is on AWS. Appointwise deletes Meta and Google tokens within seven days of disconnection, and deletes or anonymizes lead and conversation data within 30 days of account deletion. That's a cleaner disclosure than most tools in this category manage.

## Appointwise pricing: how much does it cost?

There's one straightforward answer. Appointwise's pricing lives on a single page: appointwise.io/pricing returns a 404, and every plan is quoted from the homepage's #pricing anchor. Here's what it showed on October 16, 2026.

| Page | Plan | Price | What it says you get |
| --- | --- | --- | --- |
| Homepage | Starter | $97/month | Lead dashboard, test environment, unlimited leads, 24/7 support |
| Homepage | Growth | $297/month | Starter plus 10 sub-accounts, 10 AI agents per sub-account, voice notes, revenue-tracking analytics |
| Homepage | Enterprise | Custom, requires a call | Growth plus consultancy, done-for-you setup, account manager, priority support |
| Homepage | Growth add-on | $29/month per extra sub-account | Applies once you pass the 10 sub-accounts included in Growth, before Enterprise's custom seat pricing |
| Homepage | Pricing page URL | Returns a 404 | Every plan and price above comes from the single homepage's #pricing anchor instead |
| Homepage | Toggle options | Not fully rendered | The page offers an "Agency" vs "Business Owner" toggle and a monthly/yearly toggle, but only the Agency plus Monthly view renders the numbers quoted above |

Source: Appointwise homepage, retrieved September 2026.

There's no gap to reconcile. Appointwise publishes one ladder, on one page: $97 for Starter, $297 for Growth, and a custom quote for Enterprise. The only per-account variable is the $29/mo add-on for each sub-account past Growth's included ten.

## Does Appointwise have a separate pricing page?

No. appointwise.io is a single page. Its pricing lives at the #pricing anchor on the homepage, and appointwise.io/pricing returns a 404. There's one ladder to read, not two to reconcile.

The plan names still tell you the audience. Starter, Growth and Enterprise are company-stage names, and Growth's own feature list (sub-accounts, a per-sub-account AI agent, a per-seat add-on) is agency language throughout. A solo coach reads that list and recognizes none of it as theirs.

Confirm your monthly total in writing anyway. Six sub-accounts sits inside Growth's ten, but a seventh adds $29/mo, and that's the kind of add-on that's easy to miss on the page and painful to find on the invoice. Vendors do sometimes publish two different figures for themselves. We flagged that problem in our [CloseBot alternative](/blog/closebot-alternative) roundup, where two of seven tools contradicted their own sites. Appointwise isn't one of them, but it's worth checking before you buy anything in this category.

## How long is the Appointwise free trial?

One published answer. The homepage says "14 days free, then plans start at $97 / month," and the Growth and footer calls-to-action both repeat "14-Day Free Trial."

The terms and conditions agree: "A 2-week complimentary trial is available and requires payment details." Two weeks is 14 days, so the contract and the homepage match.

Two details from those terms matter more than the length. The trial requires a card up front, and it "converts automatically to a paid subscription unless cancelled before the trial ends." Payments are non-refundable except where law requires otherwise (Appointwise terms and conditions, September 2026).

The real trial question is whether you have a reminder set for day 13, not day 14, so an automatic renewal doesn't catch you a day into your decision window.

## What Appointwise doesn't publish

Two things you'd want before buying are absent from the site, and we'd rather say that plainly than infer numbers.

**Conversation or message limits.** Nothing on the homepage, the pricing page or the terms states how many conversations, messages or AI replies a plan includes. The homepage says "unlimited leads" on Starter, which counts leads, not messages. Whether a busy month costs more than the sticker price isn't answerable from the public site.

**What one "**sub-account" covers precisely. Growth includes ten, and extra ones cost $29/mo each, but the page doesn't define whether a sub-account maps to one CRM location, one connected channel, or one business you serve. An agency running four channels for a single client needs that answer before comparing headcount to price.

### What does a sub-account actually include?

Not fully, on paper. The homepage says Growth includes "10 Sub-Accounts, 10 AI Agents per Sub-Account," which reads as one agent per client, but it doesn't spell out whether a sub-account can also mean one channel, one calendar, or one location for a single client running several of each.

Published limits are half the score in our [best AI DM setter](/blog/best-ai-dm-setter) rankings. A tool can be good and still be hard to buy.

## Which job are you hiring an AI setter to do?

Pick the job first, then the tool. Most bad purchases in this category come from buying a category instead of a task.

**Job 1: cover many client accounts with one system.** Per-client separation, per-client agents, one bill.

**Job 2: answer paid-ad form fills in seconds.** Leads arrive from Meta lead forms and go cold in minutes. Speed and SMS are the whole game.

**Job 3: qualify and close inbound DMs on your own account.** Leads come from your content and expect to hear from you. Writing style, restraint and approval matter more than throughput.

**Job 4: rescue leads who went quiet.** The problem isn't first response, it's the fourth touch nobody sends.

**Job 5: re-bill AI messaging to clients at a margin.** White-label and per-client billing controls.

Appointwise is strong on jobs 1, 2 and 5, and a poor fit for job 3, which is the job most solo coaches actually have. If job 4 is yours, the mechanics are in our breakdown of [AI DM follow-up automation](/blog/ai-dm-follow-up-automation).

## How does Appointwise compare to the alternatives?

Against the tools a coach or agency realistically shortlists, Appointwise sits mid-price and agency-shaped. Here's the field, with entry prices verified on the day of publication.

| Tool | Best for | Entry price | Channels | Needs a CRM |
| --- | --- | --- | --- | --- |
| Appointwise | Agencies with several client accounts in GoHighLevel | $97/mo | SMS, WhatsApp, Instagram, Messenger | GHL native, not required |
| Luca | Coaches closing high-ticket offers in their own DMs | $99/mo, 7-day free trial (card required) | Telegram, Instagram and Messenger live; WhatsApp coming soon | No |
| Setter AI | Paid-ad lead flow where seconds decide | $497/mo (credits), from $397/mo billed yearly | WhatsApp, web embed (SMS on the custom tier only) | No |
| SetSmart | Watching cost per AI message | $25/mo Light | WhatsApp, Instagram, Messenger | No |
| ManyChat | Comment-to-DM at volume | $0 free, $39/mo Pro | Instagram, Messenger, TikTok, Telegram, WhatsApp, SMS | No |
| GoHighLevel Conversation AI | Agencies already paying for GoHighLevel | $97/mo Starter plus usage charges | Whatever GoHighLevel connects | It is the CRM |

Sources: each vendor's own pricing page, retrieved September and October 2026. These products are not equivalent, and the prices buy different things.

Two of those deserve a note. GoHighLevel's Conversation AI carries usage charges on top of the plan fee. An agency already paying $97 for HighLevel Starter can test AI setting without a second subscription. Setter AI's yearly billing saves close to two months versus paying monthly, which we walked through in our [Setter AI pricing](/blog/setter-ai-pricing) breakdown.

## What would an agency actually pay?

Take Priya, an illustrative composite of the agencies we talk to. She runs Meta lead-gen for six local gyms, all six sitting as sub-accounts in one GoHighLevel account. Her team answers form fills by hand between 9am and 6pm.

### What does she pay now, and what would Appointwise cost?

**What she's replacing.** One part-time inside sales rep at 20 hours a week, $22 an hour: $1,760 a month. That covers about a third of the day and none of the weekend.

**What Appointwise costs her**. Her six gyms fit inside Growth's ten included sub-accounts, so she pays $297/month flat: no add-on, since she's four sub-accounts under the cap.

### What else does she pay on top of the plan?

**What it doesn't cover.** SMS carrier fees run through her own Twilio or LeadConnector account. WhatsApp Business Platform conversations are billed by Meta. No plan price on this page includes message delivery.

**The comparison that decided it.** Against $1,760 of part-time human coverage, $297 for round-the-clock coverage across six accounts isn't close on cost. The counterweight is that her rep also handled refund requests, angry gym owners and a lead whose card kept failing. None of those go to the AI. That trade, throughput bought cheaply against judgment you lose, is the whole [AI setter vs SDR](/blog/ai-setter-vs-sdr) comparison in one line.

Run your own arithmetic before you sign. Our [AI appointment setter cost](/blog/how-much-does-an-ai-appointment-setter-cost) breakdown has the full model, including the message fees most vendors leave off the page.

## Where Appointwise beats Luca

Three buyers should pick Appointwise over us, and we'd rather say so than pretend otherwise.

**Agencies with a client roster.** Luca has no sub-accounts, no white-label and no per-client billing. If you serve five gyms or twenty chiropractors, Appointwise's architecture is built for that and ours is built against it.

**SMS-first pipelines.** Luca is live on Telegram, Instagram and Messenger today, with WhatsApp coming soon. It doesn't do SMS. If your leads arrive from Meta lead forms with a phone number and no social handle, Appointwise reaches them and we don't.

**Teams already living in GoHighLevel.** If your pipeline, calendar and reporting are in GoHighLevel, adding a setter that doesn't read from it creates a second system of record, and second systems of record rot.

We ranked the same matchup from the other side in our [Appointwise vs Setter AI](/blog/appointwise-vs-setter-ai) comparison, which is the right page if those two are your shortlist.

## Where Appointwise is the wrong tool

Appointwise is the wrong tool when the account being messaged from is yours and your name is on it.

A coach with 40,000 Instagram followers has one account, one voice and one reputation. Sub-accounts and client integrations do nothing for them. What matters is whether the AI matches the way they write, whether it knows to stop, and whether they can see a reply before it sends. Appointwise doesn't publish an approval step. An agency product has little reason to build one, because the agency isn't the one whose name gets burned.

Appointwise is also wrong if Telegram is where your community lives. Appointwise names SMS, WhatsApp, Instagram and Messenger, and Telegram isn't on the list, which is a hard stop for coaches running paid communities. Same if you want your ceiling before you buy: nothing on the site says what a month of 3,000 conversations costs instead of 300.

## How seriously should you take the results claims?

Treat Appointwise's results claims as marketing until a method appears. Appointwise's homepage says it "books 30-40% of leads on average" and that it's "trusted by 6,500+ agencies, coaches and consultants." The reviews page adds 203+ verified reviews and over 172,000 leads converted to date.

None of those claims carries a definition or a sample. "Books 30-40% of leads" doesn't say whether the denominator is leads contacted, leads who replied, or leads qualified first. Those three can differ widely. We'd say the same about any claim of ours, which is why we don't publish one.

### What should you make of the "nobody realized it's AI" testimonial?

Read it as one customer's experience, not as a product promise. One line on the reviews page deserves a flag, in fairness rather than as an attack. A customer testimonial reads: "I haven't had a single lead realize it's AI." That's a customer talking, not company policy, and Appointwise's own terms forbid impersonation. It still points at a question you should answer before turning any of these tools on. What happens when a lead asks directly whether they're talking to a person? Our answer is always the truth, and we hold that line in every post about whether [Instagram DM automation is safe](/blog/is-instagram-dm-automation-safe).

## What happens in the edge cases?

### What if the lead replies at a bad hour, or already bought?

Both are timing problems. You settle both with a rule you write before launch.

**The lead who replies at 2am.** Instant is either your best feature or your worst, depending on whose account it is. On an agency's client account, instant is right. On a coach's personal account, every previous reply came at human hours. A 2:47am response reads as a bot, and the lead stops treating you as a person.

**The lead who already bought.** Someone paid in August, went quiet, then replies to a story in October. If the setter treats them as new and pitches the offer they already own, you've damaged a paying relationship. Appointwise's privacy policy shows it stores tags and qualification status, so the plumbing exists. Whether it's wired to suppress a pitch isn't documented, so ask.

### What if the messaging window closes, or they ask the price first?

One is a platform limit and one is a script problem, and neither is unique to Appointwise.

**The 24-hour window closing.** Instagram and Messenger give a business 24 hours to respond to a user. A longer human agent window of seven days covers manual replies (Meta Messenger Platform policy, October 2026). An automated follow-up firing on day three of silence sits outside the standard window. Every tool here has to handle that, and none of them advertise how.

**The lead who asks the price straight away.** A setter that quotes your $8,000 program in message two often loses the sale. That's a script problem, not a software problem, and it's the same on every tool. We wrote the sequence out in the [pricing conversation in DMs](/blog/the-price-conversation-in-dms) guide.

## Six mistakes coaches make when buying Appointwise

### Mistakes made at checkout

**1. **Forgetting the sub-account add-on. Six sub-accounts fits inside Growth's ten, but a seventh costs $29/mo more. Count your accounts before you buy, not after the invoice.

**2. **Not marking day 13. The trial is 14 days and converts automatically to a paid plan; plan your evaluation around that date so you're not arguing about a non-refundable charge the day after.

**3. Buying agency tiers for one account.** A solo coach on Growth pays for nine sub-accounts they'll never open. That's a shape mismatch.

### Mistakes made after you sign up

**4. Skipping the test environment.** Every tier includes one. Coaches skip it, turn the agent loose on live leads, and find the tone problem on a real prospect instead of a fake one.

**5. Treating "unlimited leads" as unlimited messages.** Those are different meters, and in most tools only one of them is capped.

**6. Not deciding the disclosure rule up front.** Decide what your setter says when a lead asks whether it's a bot, and write that line into the prompt before launch. Deciding it after a lead asks is deciding it badly.

## Troubleshooting: symptom, cause, fix

| Symptom | Likely cause | Fix |
| --- | --- | --- |
| Billed a different amount than the page you signed up from showed | Sub-accounts past Growth's included ten trigger the $29/mo add-on | Count your sub-accounts against the ten included in Growth before adding a new client, or budget for the add-on |
| Card charged before your evaluation finished | The trial converts automatically at day 14 | Set a reminder for day 13, not day 14, so you decide before it bills |
| Replies sound generic and leads stop answering | The prompt template was never rewritten the way you write | Rebuild the prompt from your last 20 real conversations, then retest in the test environment |
| The setter pitches people who already bought | Existing customer status isn't suppressing the offer | Tag current clients in the CRM and confirm with support that tagged contacts are excluded |
| A follow-up fails to send days after the last reply | The standard 24-hour messaging window has closed | Move the rescue cadence inside the window, or switch that lead to a channel with a different window |
| You can't tell whether next month costs more | No published conversation limit | Ask support in writing for your plan's message ceiling and overage rate, and keep the reply |

## Where a human setter still beats both

A great human setter beats every tool on this page in one situation: when the lead says something the script can't hold.

A woman tells you she's putting off coaching because her mother is in hospice. A man says he's been trying to lose the same 30 pounds since his divorce. A lead asks for a payment plan you don't offer, because their hours just got cut. A human setter hears the weight in that, slows down, and sometimes says "let's talk in January." That's the right answer, and it costs the sale this month.

No AI does that reliably, ours included. What it's missing isn't language, it's judgment about when not to sell. The honest version of every tool here is "handles volume, escalates weight," which is why the escalation rule matters more than the reply quality.

### Why does Luca let you choose review for each channel?

Checking replies matters because the liability for a bad message lands on the coach, and review is where you catch it. Appointwise's terms disclaim liability "for business outcomes of AI-generated communications, including lost leads, missed or erroneous bookings." That's a normal thing for a vendor to write and a useful thing for a buyer to read closely. Somebody has to catch the wrong message before it becomes a pattern. If it isn't the vendor and it isn't the software, it's you. That's why Luca lets you switch any channel to review (auto-send is on by default on every channel). We take the same view in our [best chatbot for coaches](/blog/best-chatbot-for-coaches) roundup.

## Should you buy Appointwise?

Branch on the account, not on the price.

### Which tool matches your account?

- **Buy Appointwise** if you run lead generation for three or more client businesses, those clients live in GoHighLevel, SMS carries most of your first replies, and you're comfortable with a setter that sends without an approval step. Count your sub-accounts against Growth's included ten before you buy, and budget $29/mo for each one past that.
- **Buy GoHighLevel Conversation AI instead** if you already pay for HighLevel and just want to test whether AI setting works on your pipeline. You're one toggle and some usage charges from an answer.
- **Buy SetSmart or ManyChat instead** if budget is the constraint and you want a published per-message meter you can watch.
- **Buy Setter AI instead** if your leads arrive from paid ad forms and the whole job is answering in seconds.
- **Buy Luca instead** if the account is yours, the offer is high-ticket, you close in your own DMs, and you want every reply the way you write, approved by you before it sends. Luca is $99, $249 or $499 a month for 1,250, 4,000 or 8,500 replies, and every Luca plan comes with a 7-day free trial (card required). It has no sub-accounts, because it isn't for agencies.

### The short version of this Appointwise review

Appointwise is real software with a real audience, and that audience is agencies. Count your sub-accounts against Growth's cap before you enter a card. If you're a solo coach with your own name on the account, look at the tools built for that job instead. Our [best Instagram DM tool for coaches](/blog/best-instagram-dm-tool-for-coaches) comparison is the place to start.

## FAQ

### How much does Appointwise cost?

Appointwise publishes one ladder, on one page. Starter is $97/month, Growth is $297/month (10 sub-accounts, plus $29/month for each additional one), and Enterprise is a custom quote. Verified October 16, 2026.

### Does Appointwise have a separate pricing page?

No. appointwise.io/pricing returns a 404. All pricing lives on the homepage, at its #pricing anchor, and there's one ladder to read: Starter, Growth, and a custom Enterprise quote.

### How long is the Appointwise free trial?

14 days. The homepage says "14 days free, then plans start at $97/month," and the terms and conditions agree: "a 2-week complimentary trial." The trial requires a card and converts to a paid plan automatically unless you cancel first.

### What channels does Appointwise support?

SMS, WhatsApp, Instagram and Facebook Messenger, according to its homepage in October 2026. Telegram is not listed. GoHighLevel is the one named CRM integration, described as native, with further CRM integrations described as coming soon.

### Does Appointwise have conversation limits?

Not published. Nothing on the homepage, the pricing page or the terms states a message, conversation or AI reply allowance. The homepage advertises "unlimited leads" on the entry plan, which counts leads rather than messages. Ask support for the ceiling and the overage rate.

### Is Appointwise good for solo coaches?

It works, but you'll pay for architecture you don't use. Sub-accounts and client integrations exist to separate other people's businesses. A coach with one account, one writing style and no CRM is better served by a tool built for a single owned account.

### Is Appointwise better than Luca?

For agencies running several client accounts in GoHighLevel, or pipelines where SMS carries the first reply, yes. Luca has no sub-accounts, no white-label and no SMS. For a coach closing high-ticket offers in their own DMs, Luca is the closer fit. Telegram, Instagram and Messenger are live today, and WhatsApp is coming soon.

### Can you cancel Appointwise at any time?

Yes. The terms say you may cancel your subscription at any time, and that charges already incurred are non-refundable except where law requires otherwise. UK consumer law exceptions are noted. Cancel before the trial ends to avoid the automatic conversion to a paid plan.
