---# The Best Appointwise Alternative for Coaches (2026)

> The right Appointwise alternative depends on where your leads come from. If they arrive from paid ads as form fills and text messages, Setter AI or CloseBot replaces Appointwise like for like. If they arrive as Instagram, WhatsApp or Telegram DMs, look at Luca (live on Telegram, Instagram and Messenger), SetSmart or Inrō instead. If you only bought Appointwise because your GoHighLevel account needed a setter, turn on Conversation AI before you buy anything at all.

## Key takeaways

- Appointwise runs a single price ladder: Starter at $97/mo, Growth at $297/mo with 10 sub-accounts, and Enterprise by quote, all under one 14-day free trial. There's no separate pricing page: the $197/$397, two-ladder story doesn't exist on the live site, verified October 16, 2026.
- What you are actually migrating is a GoHighLevel setup, not an Appointwise one. The contacts, the calendar and the conversation history usually live in the CRM, which changes the whole order of the switch.
- Nothing on this page is a drop-in replacement for everything Appointwise does. Its channel set is SMS-first. Most DM-first tools do not touch SMS at all.
- Appointwise's own reviews page carries a customer quote about leads never realising they are talking to AI. Do not build your replacement around that as a goal.
- We built Luca, so weigh our verdict accordingly. Four tools below suit specific readers better than we do, and we name them.

## What actually happens when you leave Appointwise?

The best Appointwise alternative depends on where your leads arrive: Setter AI or CloseBot for paid-ad form fills and texts, Luca, SetSmart or Inrō for Instagram, WhatsApp or Telegram DMs, and GoHighLevel's own Conversation AI if you already pay for GoHighLevel. Leaving Appointwise changes less than you expect, and in a stranger order. Appointwise sits on top of your CRM rather than replacing it, so the assets you care about are not inside Appointwise.

Appointwise's own site describes a native GoHighLevel integration, with other CRMs "launching very soon." That line decides your migration. Contacts, tags, pipeline stages, appointments and message history are GoHighLevel records. Cancelling Appointwise does not delete them, and exporting from it will not hand them over.

What you lose on cancellation day is the qualification logic: prompt templates, follow-up timing, disqualification rules, whatever your team tuned in the AI test environment over the past year. None of it transfers, because no two of these products model a conversation the same way. This is a rebuild of about six decisions, plus reconnecting channels somebody authorised months ago.

## Why do coaches look for an Appointwise alternative?

Three reasons come up over and over, and only one is price.

The first is shape. Appointwise sells to "agencies, coaches and consultants," but its own site is built around sub-accounts: Growth includes 10, with more at $29 each. A solo coach with one Instagram account is buying a tier defined by how many other people's accounts it holds. Our [Appointwise review](/blog/appointwise-review) covers whether the product is good, which is a different question from whether it fits you.

The second is channel mix. Appointwise lists SMS, WhatsApp, Instagram and Facebook Messenger: a lead-gen agency's set, with SMS at the front. A coach selling a $4,000 program lives in one or two DM inboxes and has never texted a lead.

The third is the CRM tax. If GoHighLevel is the only supported CRM and you are not otherwise a GoHighLevel customer, you pay two subscriptions to answer your own DMs. Price barely features: at $97 Appointwise's Starter tier is mid-market, and Growth at $297 sits toward the expensive end of the tools below, not a bargain.

## What are the best Appointwise alternatives at a glance?

Read the "best for" column before the price. Buying the cheapest row is how coaches pay $25 for something that cannot reach the inbox their leads use.

| Tool | Best for | Entry price (Oct 2026) | CRM needed | Channels |
| --- | --- | --- | --- | --- |
| Appointwise (baseline) | Agencies running 5+ client accounts | $97 Starter, $297 Growth | GHL native | SMS, WhatsApp, Instagram, Messenger |
| Luca | Coaches closing high-ticket in DMs | $99/mo, 7-day free trial (card required) | No | Telegram, Instagram and Messenger live; WhatsApp coming soon |
| CloseBot | Agencies re-billing message costs | $0 free / $97/mo | Works best with one | Whatever your CRM connects |
| Setter AI | Paid-ad leads, speed above all | $497/mo (credits) | No | WhatsApp, text, web chat |
| SetSmart | Watching cost per message | $25/mo Light | No | WhatsApp, Instagram, Messenger |
| ZeroChats | Spanish-language teams in GHL | Not published (shown after signup) | GHL integration | Instagram, WhatsApp add-on |
| Inrō | Instagram-only, wants a free tier | EUR 0 free / EUR 12.99/mo | No | Instagram DMs, comments, stories, ads |
| GoHighLevel Conversation AI | Anyone already paying for GHL | $97/mo plus usage | It is the CRM | Whatever GHL connects |
| ManyChat | Comment-to-DM at volume | $0 free / $17/mo Essential | No | Instagram, Messenger, Telegram, TikTok, WhatsApp |

## Which Appointwise price is the real one?

There's one. Appointwise runs a single ladder from its own domain: Starter at $97/mo and Growth at $297/mo, with extra sub-accounts at $29 each, both under one 14-day free trial. Its own hero copy reads "14 days free, then plans start at $97 / month." There is no separate pricing page: appointwise.io/pricing returns a 404, and the $197/$397, "client integrations" ladder some sites describe doesn't appear anywhere on the site.

Bar chart of Appointwise's single published monthly price ladder in September 2026: Starter at 97 dollars, Growth at 297 dollars, and Enterprise by quote

Source: Appointwise homepage, retrieved September 2026. appointwise.io/pricing returns a 404; Growth includes 10 sub-accounts, with extra ones at $29 each.

One ladder, one 14-day trial: there's nothing to reconcile. Screenshot the price you see before you sign up, and confirm it with the vendor in writing if anything on the page ever looks off.

## How did we evaluate these tools?

We build Luca. That is a conflict of interest, so here is the method and here is what to discount.

We opened every vendor's own pricing page in October 2026 and recorded plan names, prices, allowances, channels and trial terms as written. Nothing comes from a review-roundup site or from memory. Where a vendor contradicts itself, we print both numbers.

We did not run a conversion test. There is no honest way to A/B two setters on somebody else's leads. A vendor publishing a "3x more bookings" claim inside a comparison post is advertising, ours included. So we judged what is checkable: cost at realistic volume, whether a CRM is required, which inboxes the tool reaches, and how much setup lands on you.

Chatfuel missed the shortlist: a solid flat-rate option across Instagram, Facebook and WhatsApp from $18 a month billed yearly for Business, but a chatbot rather than a setter.

## Luca

**Best for:** coaches closing high-ticket offers in their own DMs, no CRM underneath.

Luca replies to people who messaged you first, at a human pace, qualifies them, and hands you a warm conversation. It drafts each reply the way you write. Auto-send is on by default on every channel, and you can switch any channel to review. Telegram, Instagram and Messenger are live today, and WhatsApp is coming soon. Pricing is $99, $249 or $499 a month for 1,250, 4,000 or 8,500 replies, and every Luca plan comes with a 7-day free trial (card required).

### Where Luca fits, and where it does not

**Pros:** one DM inbox, with Telegram live today and Instagram, Messenger and WhatsApp on the way; no CRM; replies drafted the way you write that you approve before they send.

**Cons:** no SMS, so an Appointwise user whose leads arrive as form fills and texts loses a channel. No white-label, no sub-accounts, no re-billing.

Approval is the part people ask about, and in Luca it's your choice for each channel. On a channel set to review, a bad prompt doesn't get to quote last year's price to your best lead before you catch it. Reviewing replies costs about ten minutes a day and buys confidence that the model matches the way you write. We hold every tool here to that standard in our [best AI DM setter](/blog/best-ai-dm-setter) rankings.

## CloseBot

**Best for:** agencies marking up message costs and re-billing them to clients.

CloseBot is the closest structural match to Appointwise here: an agent builder that sits on your CRM and answers conversations inside it. The free plan carries 100 monthly messages, Core is $97/mo minimum, tiered by message volume, with a 7-day trial, and agency messages run $0.012 each, rebillable through a white-label portal.

### Where CloseBot beats Luca

**Pros:** the cheapest per-message economics here; genuine white-label; a free tier for testing the logic.

**Cons:** you build the flows, and channel support comes from your CRM, so a broken Instagram connection means debugging two products.

If you are an agency leaving on cost rather than fit, CloseBot beats us and it is not close. Our [CloseBot alternative](/blog/closebot-alternative) roundup runs the per-message arithmetic in full.

## Setter AI

**Best for:** paid-ad lead flow where the first reply must land in seconds.

Setter AI answers form fills on WhatsApp and text within moments, which is the job many Appointwise users bought Appointwise to do. It now sells credit plans: $497/mo for 500 credits, $2,297/mo for 2,500 and $3,497/mo for 5,000, or from $397/mo billed yearly. No free plan or free trial is listed (trysetter.com, checked October 15, 2026).

### What Setter AI's speed costs you

**Pros:** genuinely fast on inbound forms; onboarding done for you higher up; priced by a lead cap rather than contacts, which suits a short list of hot leads.

**Cons:** no Instagram DM support, and content-led leads mean ad-scale positioning for coach-scale volume.

We put the two side by side in [Appointwise vs Setter AI](/blog/appointwise-vs-setter-ai), and the maths sits in our [Setter AI pricing](/blog/setter-ai-pricing) explainer.

## SetSmart

**Best for:** coaches watching cost per message on a small warm list.

SetSmart is the cheapest way into real AI qualification. It covers WhatsApp, Instagram and Messenger from $25 a month for Light, with 250 AI messages, a hard cap and no auto top-ups. Pro is $97 with 1,000 messages and top-ups at $100 per thousand; Scale $297 with 4,000; Enterprise $797 with 15,000. Annual billing costs ten months.

### Where SetSmart's meter starts to bite

**Pros:** the cheapest entry to real AI qualification here, and Light's hard cap is underrated.

**Cons:** metered pricing looks cheap at today's volume and stops the month your content works. No Telegram. Our [SetSmart review](/blog/setsmart-review) covers where the meter bites.

An Appointwise user on Growth, at $297/mo, sending 1,500 messages a month lands near $197 on SetSmart Pro after one top-up: a real saving, not a lateral move.

## ZeroChats

**Best for:** Spanish-language sales teams already in GoHighLevel.

Think of ZeroChats as Appointwise for the Spanish-speaking market. It replaces human setters with AI on Instagram, offers WhatsApp as an add-on, and integrates with GoHighLevel the same way. Its Business plan includes 3,000 chats a month, or 36,000 a year on annual billing, and a conversation simulator.

### Why ZeroChats doesn't publish a price at all

**Pros:** the closest match to Appointwise for agencies selling in Spanish, and the simulator is a good way to test qualification logic before it touches a lead.

**Cons:** the price isn't public. Neither the Spanish nor the English site shows a number: the plan and price only appear inside the app after you start a trial, which is hard to budget against sight unseen; our [ZeroChats review](/blog/zerochats-review) goes further.

## Inrō

**Best for:** Instagram-only coaches and creators who want to test the idea free.

Inrō lets you start without paying: its free tier gives 100 active contacts a month, three automations and 50 AI agent credits. Pro is EUR 12.99 with unlimited automations and a 14-day trial, annual Pro is EUR 1,249 with a far larger allowance, and a managed account starts from EUR 299 a month on a custom quote.

### What the free Inrō tier actually covers

**Pros:** free to try properly, covering DMs, comments, story mentions and ad replies.

**Cons:** Instagram only. If Appointwise answered your SMS and WhatsApp leads, Inrō replaces a third of it, and the free tier's AI credits run out fast. Our [Inrō pricing](/comparison/inro) breakdown covers what those credits buy.

## GoHighLevel Conversation AI

**Best for:** anyone who bought Appointwise while already paying for GoHighLevel.

Check this before buying anything else. If Appointwise plugged into your GoHighLevel account, you already own a CRM with its own Conversation AI, and switching it on costs usage charges rather than a second subscription. HighLevel runs $97 for Starter with three sub-accounts, $297 for Unlimited and $497 for Agency Pro, with usage charges on top for the AI products.

### Why Conversation AI is worth switching on before you buy again

**Pros:** no new integration, no second vendor to blame, re-billing built in higher up.

**Cons:** usage billing is unpredictable until you have a month of data, and Instagram support is only as good as your GoHighLevel connection. We compared the options in [GoHighLevel AI appointment setter](/blog/gohighlevel-ai-appointment-setter). For an agency on Agency Pro, this beats buying Appointwise again.

## ManyChat

**Best for:** coaches whose leads start as a comment on a Reel, not a form fill.

ManyChat is here because many Appointwise users do not need a setter. They need the comment-to-DM delivery that fills the inbox first. Free covers 25 contacts a month, Essential is $17/mo, Pro $39/mo with 2,500 contacts, Business $99/mo and Advanced $199/mo; ManyChat AI is included from Pro up.

### What ManyChat can and cannot do as a setter

**Pros:** the cheapest way to move a Reel's comments into DMs, with Instagram, Messenger, TikTok and Telegram on every plan, and WhatsApp arriving on Pro.

**Cons:** it is a flow builder, not a setter. It follows the branch you drew, and a lead who replies sideways falls out of the tree.

One correction worth making: ManyChat does support Telegram, on every plan, through a bot you create with Telegram's own BotFather. What it can and cannot do there is in [does ManyChat work with Telegram](/blog/does-manychat-work-with-telegram).

## How do you migrate off Appointwise without losing bookings?

Run the new tool beside Appointwise for two weeks before you cancel. Every failed switch here is a same-day cutover.

**1. Export from GoHighLevel first, not from Appointwise.** Contacts, tags, appointments and message history are CRM records. Pull them before you touch either subscription. That export is what you need in March when a lead says you already spoke.

**2. Screenshot the qualification logic before you cancel.** Capture prompt templates, follow-up timings and disqualification rules while you still have a login. You are migrating six decisions: what you learn about a lead, what rules them out, when the calendar appears, how long follow-ups run, when they stop, who gets escalated.

### Reconnect the channels, then split the traffic

**3. Reconnect channels from the account that owns them.** Instagram and WhatsApp were authorised through a Meta Business account, possibly by an agency. Disconnecting Appointwise does not release that permission, so find whoever granted it first.

**4. Split traffic instead of switching it.** Point one channel at the new tool and leave the rest on Appointwise. Instagram is the usual first move.

### Warm up first, then cancel on a billing boundary

**5. Warm up, and read every reply for the first ten days.** A new integration answering sixty conversations on its first morning is asking for a rate limit. Ramp over a week, and read our [Instagram DM automation safety](/blog/is-instagram-dm-automation-safe) guide first. This is why Luca replies at a human pace instead of opening at full speed: the constraint is the platform's patience, not the software's capacity. Reading each reply before it sends catches a wrong price at message forty instead of four hundred, and the connection order is in our [AI setter setup guide](/blog/how-to-set-up-an-ai-setter).

**6. Cancel on a billing boundary.** Given two published trial lengths, confirm yours by email first.

## What does switching actually cost?

Here is the arithmetic on a realistic decision. The figures are illustrative, built from the rates in Sources.

Priya coaches career transitions, sells a $3,600 six-month package, and gets most leads from Instagram Reels plus a small ad budget. She has been on Appointwise a year, inside a GoHighLevel sub-account her old agency set up, and handles about 1,400 AI messages a month across Instagram DMs and SMS.

### What Priya pays now, and what the alternatives cost

**What she pays now.** Appointwise Growth at $297, GoHighLevel Starter at $97 to hold the integration, and $29 for the extra sub-account. That is $423 a month, and $126 of it goes purely to keep Appointwise connected to something.

**What the alternatives cost at her volume.** SetSmart Pro is $97 plus one $100 top-up with the CRM dropped: $197. Luca's entry plan is $99 for 1,250 replies, no CRM, with a 7-day free trial (card required). CloseBot Core is $97 flat at her volume, with GoHighLevel still at $97 to run it: $194. Setter AI now starts at $497/mo on credits, more than she pays today.

### What she gives up, and what she chose

**What she loses either way.** SMS. Only CloseBot, Setter AI and GoHighLevel keep it, and two of those keep the CRM bill too.

Priya moved her Instagram and WhatsApp DMs to a DM-first tool at $99 and left her small SMS ad flow on a template she sends herself. If you go the Luca route, check which of your channels are live first, since WhatsApp is coming soon. Her bill went from $423 to $99, and the automated SMS qualification she gave up was worth maybe two conversations a month.

## Which Appointwise alternative should you choose?

Choose by where your leads arrive, then by who maintains it.

### If your leads arrive as form fills, texts or ad enquiries

- **Choose Setter AI** if your leads are paid-ad form fills and the first reply must land within a minute.
- **Choose CloseBot** if you are an agency leaving over cost per message.
- **Choose GoHighLevel Conversation AI** if you already pay for GoHighLevel and leads arrive by form, SMS or email. Turn on what you own first.

### If your leads arrive as DMs

- **Choose Luca** if you close high-ticket offers in your own DMs, want no CRM, and want the choice to approve each reply before it goes out.
- **Choose SetSmart** if you want the cheapest genuine AI qualification and will watch a meter.
- **Choose Inrō** if you sell on Instagram only and want to test the idea before spending anything.
- **Choose ManyChat** if what you lack is inbound volume rather than qualification.

### If you run client accounts or sell in Spanish

- **Choose ZeroChats** if you sell in Spanish, are staying in GoHighLevel, and are fine confirming the price with the vendor before you commit, since it isn't published on the site.
- **Stay on Appointwise** if you run five or more client accounts, GoHighLevel is your platform, and the templates save more time than the tier structure costs.

## What breaks in the first month?

Three situations catch people before any software fault does.

Leads mid-conversation on cutover day should be finished by hand. Handing a half-negotiated lead to a model with no memory of what was promised is how a coach honours a price nobody offered.

Anyone who already bought needs suppressing first. A qualification sequence aimed at a paying client reads as insulting.

Timezones are the third. Appointwise supports seventeen-plus languages, so international lead flow is common among its users, and a tool inheriting your CRM's timezone will answer Manila at three in the morning.

Most of the rest of the first-month mess falls into five buckets.

| Symptom | Likely cause | Fix |
| --- | --- | --- |
| Leads get two replies, one per tool | Appointwise is still connected to that channel inside GoHighLevel | Disconnect at the CRM layer, not just in Appointwise |
| The new tool sees no conversations | The channel was authorised under an agency Meta Business account you no longer control | Re-authorise from the account owning the page or number, then reconnect |
| Replies stop after a day, no error | You opened at full volume from a new integration and hit a rate limit | Pause, drop well below yesterday's volume, ramp back over a week |
| The AI quotes a price you no longer charge | Knowledge base rebuilt from an old Appointwise export | Rewrite the offer and price block by hand instead of importing it |
| Follow-ups run on after a lead says no | Disqualification rules were not rebuilt, only the questions | Re-enter the stop conditions explicitly. They almost never transfer |

## What are the most common mistakes when replacing Appointwise?

Five, and the expensive ones have nothing to do with the software.

**Buying on the sticker price.** Comparing $297 to $99 and stopping. The comparable number is your total bill, including the CRM you kept only to hold an integration, plus top-ups at your real volume.

**Cancelling before exporting.** Losing the qualification logic and the message history in one week, then rebuilding both from memory.

**Rebuilding the flow instead of the decisions.** Recreating a prompt template branch for branch inside a tool that does not think in branches. Write down what you need to learn about a lead, and build that.

### The two mistakes that outlast the migration

**Replacing four channels with one and calling it a saving.** If SMS was doing real work, a DM-first tool is a narrower product at a lower price. Decide that consciously, the way Priya did.

**Chasing the "nobody knows it's AI" pitch.** Appointwise's own reviews page carries a customer saying that after a thousand leads, not one realised they were talking to AI. Read that as a warning, not a feature. When a lead asks whether they are talking to a person, the answer is the truth. A tool that makes lying easy will make it happen at scale.

## When is a human setter still better than any of these?

When the conversation is not really about the sale.

A former client returning after eighteen months needs someone who remembers why they left. A referral arriving with "Marcus said I should message you" needs a reply that honours Marcus, and no model knows what that relationship is worth. Someone who should be told no, because your program will not fix what they described, needs a human to say it kindly.

Good setters also hear the second meaning. "Let me check with my partner" can be money, fear, or genuine partnership, and an experienced setter reads which from the two messages before it. AI is strong on structured qualification and follow-up discipline, weak at the thing that makes a great setter expensive.

A human setter's sense of timing is why Luca's rescue cadence stops rather than running forever. Five touches, then silence, then the door stays open. A human feels when the sixth message turns a warm lead into someone who blocks you. Software has to be told where that line sits, so we drew it.

## Choosing your Appointwise alternative

The best Appointwise alternative for you turns on two questions, and neither is price. Where do your leads arrive, and who maintains the thing once it runs?

If they arrive as form fills and texts and an agency maintains it, Appointwise is a reasonable product, and CloseBot or Setter AI are the like-for-like moves. If they arrive as DMs and you maintain it yourself, in the evening between clients, you bought the wrong shape. Appointwise is organised around a client-count tier structure that never had anything to do with you.

Pick the row that matches your pipeline, run it beside Appointwise for a fortnight, then cancel on a billing boundary with the trial terms in writing.

Luca starts at $99 a month for 1,250 replies, and every Luca plan comes with a 7-day free trial (card required). Telegram, Instagram and Messenger are live today, and WhatsApp is coming soon. Luca drafts replies the way you write. Auto-send is on by default on every channel, and you can switch any channel to review. [See Luca's plans](/pricing).

## FAQ

### What is the best Appointwise alternative for coaches?

There is no single answer, because Appointwise covers four channels. Coaches selling in Instagram, WhatsApp or Telegram DMs are best served by Luca, SetSmart or Inrō. Coaches whose leads arrive as paid-ad form fills should look at Setter AI. Agencies leaving on cost should look at CloseBot.

### Does Appointwise really publish two different prices?

No. It publishes one. As of October 16, 2026, the homepage lists Starter at $97/mo and Growth at $297/mo, both under a single 14-day free trial. There's no separate pricing page (appointwise.io/pricing 404s), and the $197/$397 second ladder some sites describe doesn't exist on the site itself. Confirm your plan and trial by email before you're charged, just as good practice.

### Do I lose my leads if I cancel Appointwise?

Usually not. Appointwise integrates natively with GoHighLevel, so contacts, tags, appointments and conversation history are CRM records rather than Appointwise records. Export from GoHighLevel before you cancel either subscription. What you do lose is the qualification logic, which no vendor migrates for you.

### Is there a free Appointwise alternative?

Partly. Inrō has a free tier with 100 active contacts a month and 50 AI credits, ManyChat's free plan covers 25 contacts, and CloseBot's free plan includes 100 monthly messages. All three are real products with real limits, and none of them will carry a full coaching pipeline past the first month.

### Can I replace Appointwise without using GoHighLevel?

Yes, and for most coaches that is the point. Luca, SetSmart, Setter AI, Inrō and ManyChat all run without a CRM underneath. If GoHighLevel was only ever there to hold the Appointwise integration, dropping both removes a subscription and a debugging layer at the same time.

### How long does it take to switch AI setters?

Plan on two weeks. The rebuild itself takes an afternoon: reconnect channels, re-enter qualification questions, set stop conditions and hours. The remaining time is running both tools in parallel on split traffic, ramping volume, and reading every reply before it sends so you catch bad answers early.

### Does ManyChat work with Telegram as an Appointwise replacement?

ManyChat supports Telegram on every plan, connected through a bot you create with Telegram's own BotFather. It is a genuine channel, not a workaround. As an Appointwise replacement it is partial, because ManyChat builds flows rather than qualifying conversationally the way a setter does.
